When it comes to the overall success of your event, finding and choosing the right venue makes all the difference. Taking into considering the season, the time of day, your personality, the character of your guests, the overall theme of the event, and the type of food and décor to be involved are all important aspects of the plan and will help you discover the perfect place for your party!

Pick a Date
Depending on the time of year you’re wanting to schedule your event or party, popular venues book quickly and far in advance. Outdoor areas in the summer and fancy lit, dazzling displays of light are hard to come by during the holidays. Once you have a date range, though, finding a place that will cater to that “range,” will be all the more helpful. If you’re a little flexible, you will have a bit more luck. Do remember to keep in mind a time-frame when most of your guests will be available.

Name Your Budget
Of course we’d all like to get married at The Plaza on New Year’s Eve in New York City in at least one of our dreams, but realistically we are all confined to some sort of budget. As you’re exploring a variety of different venues, make sure each of the locations can be negotiated to fit into your financial budget while still fulfilling your wants and needs during the event. While location may be everything in some situations, don’t forget about the expenses of food, music, and more, if those are not included in the venue’s contracted rate. There’s more to the party than the address.

Consider a Theme
If you’re daydreaming about a black-tie evening event on Valentine’s Day, a mid-day meadow not yet in bloom in the pouring rain of the Pacific Northwest may not suit your needs. Think about what you really want in terms of atmosphere, décor, food, and fancy before you home in on an exact location. Not all venues are able to offer the same things.

Research the Reputation
Once you’ve found a few places that seem like they’ll work for your event, do a little research to ensure positive reviews of previous customers and clients. You want to be sure everything about your planning and overall experience is positive.

Visit the Venue
Before a final booking, make sure you visit the venue and see and feel the atmosphere on your own. Pictures and photographs don’t always do justice or, on the other hand, may overinflate what can really be offered.
